What buyers check before they trust a new supplier
Buyers shortlist online before they ever reply to you. Here’s the checklist they’re running — and how to pass it before the first call.
By the time a buyer answers your outreach, they’ve already investigated you. Not deeply — they have forty suppliers to scan — but decisively. The scan takes minutes, and it’s mostly a search for reasons to say no.
The five-minute audit every buyer runs
1 · Imagery quality. Not beauty — consistency. A line shot in one visual system signals an operation with standards. Twelve products photographed twelve ways signals improvisation, and buyers extrapolate that to your production.
2 · Spec completeness. Materials, dimensions, MOQ, lead time visible without asking. Every missing field is a future email the buyer doesn’t want to send. Complete data reads as “this factory has answered these questions before.”
3 · Responsiveness speed. The first probe is often small — “do you have this in black?” The content of your answer matters less than its latency. Under a day: professional. Under an hour: shortlisted.
Buyers treat your digital presence as a free audit of your operational maturity. Mostly, they’re right.
4 · Price transparency signals. Not published prices — structure. Tiered pricing that appears quickly and consistently across products tells a buyer your costing is real, not improvised per negotiation.
5 · Evidence of motion. A catalog updated this season. New pieces. A trade-show mention. Anything that says the factory is alive and invested — because onboarding a dormant supplier is a risk no buyer wants to explain to their boss.
Passing the audit is a system, not a scramble
Every item on this list is downstream of the same foundation: a structured, current, well-imaged catalog with fast answers attached. Build that once and every future audit — from every future buyer — is already passed.
